GVSU Rugby Football Club Constitution

 

Article I – Name

  • Grand Valley State University Rugby Football Club (GVSURFC)

 

Article II – Purpose

  • The GVSURFC was established to provide a competitive and social experience for student athletes at GVSU and other area colleges and universities. GVSURFC strives to combine efforts with local rugby clubs to promote the great sport of rugby.

 

Article III – Membership

·         Section 3.1 – Qualifications

o   To be a member of GVSURFC you must be a student athlete at GVSU or area college/university without a rugby club. By USA Rugby laws, you must be a full-time student (12 credits) to participate in an A-side match.

o   All members must be registered with USA Rugby.

 

·         Section 3.2 – Rookie/Veteran Status

o   Any rookie that has played two full seasons can submit a request for veteran status for the following seasons.

o   Executive board must approve veteran status of a rookie by majority rule.

 

·         Section 3.3 – Suspensions/Termination from Club

o   Executive board handles all suspensions and terminations at their discretion.

 

Article IV – Meetings

·         Section 4.1 – E-Board

o   Meetings will be held at least twice per season.

o   Additional meetings may be requested by an E-board member and approved by the president.

 

·         Section 4.2 – Team

o   Full team meetings will be held once per season or determined by E-board.

 

 

 

 

·         Section 4.3 – Practice

o   Two mandatory practices per week. Times and location determined by E-board, coach, or acts of God.

 

Article V – Elections

  • To be held after the last practice of fall season.
  • Mandatory attendance by all team members.
  • All members will elect officers by a discussion and a majority vote.
  • Elected officers will begin their term on January 1st of the following year.

 

Article VI – Officers

  • Section 6.1 – Elected Officers

  • Section 6.2 – Purposes
    • President –
      • Responsible for all GVSURFC activities on and off the field.
      • Preside over all meetings of the club.
      • Moderates E-Board and their responsibilities.
      • Serves as club liaison to Grand Valley State University.
      • Works with Vice President to establish a budget with the advice and consent of the E-Board.
      • Oversees that all members are CIPP certified with USA Rugby.
      • Oversees that GVSURFC is registered with USA Rugby, Midwest Rugby Union, and Michigan Rugby Union.
      • Receive/Produce season schedule and distributes to the team in a timely fashion.
      • Review and sign professional contract for coach/administrator before each fall season.

 

 

 

 

 

 

 

    • Vice President –
      • Manager of all team finances.
      • Oversees that all team members have paid team dues.
      • Oversees that all club members submit proper paperwork to the University and GVSURFC.
      • Presents finance reports to the E-Board at meetings. This includes total amount savings, bills due, and recent expenditures of the club.
      • Assists team President.
    • Match Secretary –
      • Confirms matches, tournaments, and referees for the club.
      • Reserves space and times for games and practices.
      • Manages all equipment, both practice and game.
      • Manages transportation/directions to away games.
    • Communications Director –
      • Produce a contact database of all team members and keep updated.
      • Serve as club liaison to all media (i.e. The Lanthorn, GR Press, radio/television, etc.)
      • Inform the University, media, students, etc. of upcoming games and recent results.
      • In charge of all recruitment planning and efforts.
      • Add team member e-mails to e-mail server.
      • Produce/Manage team website and keep updated.
    • Alumni Relations –
      • Club liaison to all past members (aka Old Boys)
      • Oversees that Old Boys are made aware of annual Alumni Game.
      • Oversees that Old Boys game is played (end of spring season).
      • Help Social Coordinator plan Old Boys Social
      • Inform the Alumni of upcoming games, recent results, and other club news.
    • Social Coordinator –
      • Set up, confirm, and manage all post game socials.
      • Serves as club liaison to establishments.
      • Informs club members of social events around campus and Allendale/Grand Rapids area.
    • Team Captain –
      • Responsible for all on field happenings.
      • Leads the team positively at practice and games.
      • Represents GVSU and GVSURFC in a professional manner.

 

 

 

 

  • Section 6.3 – Elected Terms
    • Terms are to last one full year until next election period.
    • Rookies are not eligible to run for office.

 

  • Section 6.4 – Removal from E-Board
    • Any club member can request the removal of any E-board member with just cause.
    • An open team discussion will be held to determine the status of said member.
    • A 2/3 vote of the team will carry the final decision to the E-board.

 

Article VII – Finances

  • Section 7.1 – Personal Team Dues
    • Team dues are determined by E-board members.
    • Dues will be paid at the beginning of each season.
    • Veterans must pay team dues before the first game of each season.
    • Rookies must pay team dues following their first played game of each season, but no later than the game following.

 

  • Section 7.2 – Financial Management
    • Vice President is in charge of all finances.
    • Funds will be stored in a financial institution that is FDIC certified.
    • All spending and purchases must be witnessed by two E-Board members.
    • Financial statements must be viewed by the E-Board at least twice per season.

 

 

Article VIII – Equipment

·         Section 8.1 – Purchases

o   Any purchases less than $500 can solely be approved by President and Vice President

o   Any purchases $501 or more must be approved by majority of E-board.

 

·         Section 8.2 – Property

o   Any equipment purchased by funds allocated from GVSU is the property of the university.

o   Any equipment purchased by the funds of the GVSURFC is the property of the GVSURFC.

 

 

 

 

·         Section 8.3 – Storage

o   All equipment is the responsibility of the E-board.

 

Article IX – Advisor

·         By GVSU student organization rules, advisors must be a GVSU employee.

 

 

Article X – Coach

  • Section 10.1 – Hiring and Termination of a Coach/Administrator
    • Hiring and termination must be approved by majority of E-board members.

 

  • Section 10.2 – Coach/Administrator Professional Contract
    • Contract is approved by the club President, club advisor, and signed by coach/administrator, club president, and club advisor.
    • Coach/Administrator will follow the terms and conditions stated in the professional contract.

 

  • Section 10.3 – Coach/Administrator Salary
    • Salary will be requested by GVSURFC to the University and will be determined by the Student Senate in annual appropriations meetings.
    • Coach/Administrator will be paid by the funds allotted to GVSURFC by GVSU Student Senate for Professional Contract Services only.

 

Article XI – Ratification and Amendments

  • Amendments to this document may be presented to the E-board and approved by the majority of the officers.
